The problem as it actually happens
The order shipped two days ago. The tracking still says pre-transit. Then the message arrives: "Hi, where is my order?" Every Etsy seller knows this one — and sellers in help threads and forums describe answering the same question, for the same orders, over and over again while the parcel is actually on its way.
Why buyers ask even when you shipped on time
Buyers do not see your post office trip. They see a tracking page that has not moved, or no tracking at all on a letter-mail order, and silence from the shop in between. Etsy's own help pages confirm the gap: some shipments show no tracking until they reach the destination country, and some shipping methods carry no tracking at all. When nothing explains that, the buyer fills the silence with worry — and a message to you. The seller did nothing wrong; the buyer simply was never told what to expect.
What "where is my order" actually costs
Each message costs a seller ten minutes of checking, replying, and reassuring. Multiply that across a busy week and it eats the time meant for making, listing, and packing. Worse, an unanswered or slow answer is what turns a normal delivery into a case or a low review. Buyers rarely leave a bad review about a parcel that arrived late; they leave one about feeling ignored while it was late.
The automation setup, step by step
- Send a dispatch message the moment you mark the order complete. One short note: it shipped today, here is the tracking link, and here is the realistic delivery window for that service.
- Explain the tracking gap before it happens. For letter mail and international orders, say plainly that tracking may not update until the parcel reaches the destination country. This one sentence prevents most "it hasn't moved" messages.
- Send a mid-transit check-in. A short automated message a few days after dispatch: your order is in transit, here is the tracking link again, reply here if anything looks wrong.
- Send a delivered check-in. When the carrier marks it delivered, a brief message asks the buyer to confirm arrival and points them to the review page. Problems surface while they are still fixable.
- Route worried buyers to a person fast. Any message with words like "lost", "refund", or "case" skips the sequence and lands in your inbox flagged for a same-day human reply.
What stays with a person
Refunds, replacements, lost-parcel claims, and any buyer who is upset stay human. The automation sends the updates; a person decides what to do when a parcel genuinely goes missing. Never let an automated message promise a refund or a reship.
The weekly pass
Once a week, count three things: how many "where is my order" messages arrived, how many orders had no dispatch message, and how many cases were opened. If messages cluster around one shipping service, its delivery window in your listings is probably wrong. Fix the listing wording first — the automation only repeats what you told buyers to expect.
