AI customer support for online stores

Let a chat assistant answer order status, common product questions, and review requests, and hand complaints and refunds to a person.

A laptop on a desk beside a small potted plant and black over-ear headphones.

Buyers ask the same questions every week. Where is my order. What are the measurements. Do you ship to this country. A chat assistant can answer those from facts you already keep, and it can ask for a review after the parcel has arrived. It should not invent a delivery date, argue about a damaged item, or promise a refund.

Treat the assistant as a well-briefed colleague on the first reply, not as the owner of the inbox. You still read the threads that involve money, a complaint, or a question your facts do not cover.

Sort the inbox before you automate it

Spend a few selling days labelling messages as they arrive. Four labels are enough:

  • Order status. The buyer wants the tracking number, the carrier, or whether the order has been packed.
  • Product question. Size, material, care, or what is included. The answer lives on the listing or on a short sheet you trust.
  • Review request. You are asking the buyer for a review, not answering one they already left.
  • Complaint or exception. Damage, a missing piece, a wrong item, a refund, or a tone that says the buyer is unhappy.

Only the first three are candidates for an automatic reply. The fourth goes to a person, with the order number attached so you are not searching for it.

What the assistant may say

Write the answers yourself. The assistant should use those answers, not compose a new policy in the moment.

For order status, the reply may quote the status and the tracking number stored on that order. If the order has no tracking number yet, the reply says it has not shipped and names the packing window you actually work. It does not guess a day. If the order cannot be found, the reply asks for the order number and stops.

For product questions, keep a short FAQ: one question, one answer, and the SKUs it applies to. If the buyer asks something the FAQ does not contain, the thread waits for you. Adding a new answer is a deliberate edit, not something the assistant does because the question sounded similar.

For review requests, send one message after the carrier shows the parcel as delivered, or after a number of days you choose if the carrier does not share that. Do not send it on the day of purchase. Do not send a second request if the buyer has already replied, complained, or left a review. The wording should be the sentence you would actually send.

Hand-off rules

Write the words and situations that always leave the assistant. A practical starting list:

  • Refund, return, cancel, damaged, missing, wrong, or late.
  • Any message that includes a photo of a problem.
  • A buyer who has written twice without a resolution.
  • A question about a wholesale order, a custom change, or a price you have not published.

The hand-off should land where you already read mail in the morning, with the channel, the order number, and the last thing the assistant said. The buyer should be told a person will reply. Silence after an automatic answer is what makes the tool feel careless.

Set it up in this order

  1. Export a week of real questions and group them with the four labels.
  2. Write FAQ answers only for questions you are willing to send unchanged.
  3. Connect order status to the order record you pack from, so the reply cannot invent a tracking number.
  4. Turn on the assistant for order status and FAQ first. Leave review requests off until those two look right.
  5. Read every thread for a few days. Correct the FAQ when you find yourself typing the same fix.
  6. Add the review request with a single template and a clear "do not send" list.

A weekly read

Once a week, read the threads the assistant finished alone and the ones it handed to you. If you are rewriting the same answer, put that answer in the FAQ. If the assistant sent a review request to someone who was waiting on a replacement, tighten the "do not send" list before you let it run again.

The assistant is doing its job when the inbox you still open is shorter, and the threads in it are the ones that needed you.
